Worship team communications

Question:
I am in charge of putting together a web site for our worship team. I cobbled together some simple pages which we have been using as a prototype, until I get the "real thang" finished. I'd like to know what others use, and what they think of it.
Essentials as I see them:
  • easy for WL to update calendar
  • password protected/encrypted SLL connections
  • MP3 and PDF hosting for song lists
  • email alerts for schedule changes
  • Recordings of last 3 months services
  • Links & Announcements
What am I missing here? Is there an Open Source (PHP) version available that would save me development time?

A very interesting project. I like the way schedules are presented- lots of great eye candy, and some very good ideas in user interface. Looks like it will take me more time to adapt that than to write a new one from scratch, though.

despite not knowing your knowledge about software development in general and web development (with php) in particular, i highly doubt that it would be easier to write a new application with the same maturity, stability and features (though you probably wouldn't need every feature) egroupware provides.
nevertheless, i'd be interested in your solution, should you be willing to "open source" it.
edit: after reading your post 2 more times, it seems that it doesn't provide all the features you need. sry for not realizing that before posting.

are the only ones I have seen. I have not used them though, so I can't vouch for it. Plus they are both monthly charges for using the service.

Thanks for the pointers Jubal. Both sites you point to have interesting features, but both are very expensive once you start hosting a bunch of MP3s & PDFs.
This looks highly doable in .NET, as I have numerous other projects of similar types that I have done. My experience in PHP is only about 4 years, much more for .NET / C#. It is much easier to debug and has loads of useful instrinsics I will happily abuse. I can host it on my own server as long as our church doesn't grow too big. (that will be a nice problem to have)
As for making it available to others- drop me a line and we can work something out. It will only work on MS servers IIS 6.0 and .Net 2.0. I will not do an Apache port, but I might do MySQL.

Sometimes a plain old simple phone call is a good way of communicating.
Also, don't assume everybody on your team can access and download MP3s and PDFs either. We have that problem and most weeks our leader or assistant winds up making copies for those who can't access the online stuff.

My church uses WorshipPlanning.com. I can only assume that they pay for all the bells and whistles since there are a lot of songs uploaded there (MP3's) and also a database of current and past songs. All that being said, with the fees and such associated with each level of storage space and song libraries, it seems to me you'd be much better off if you did figure out a way to implement this on your own. For 6 bucks a month I get gigs upon endless gigs of bandwidth and about 20GB of storage on my host. Seems like you could do all of that with a single hosting account somewhere if you had the programming knowledge. I don't think the size of your church would make that much of a difference in server load if it's just your worship team that has access to it. My church averages about 1300 to 1400 people this month and our worship team that has access to that site is still only about 20 people max. That's not much of a load at all.

I threw up a Wiki (tikiwiki to be exact) and it's a quick and easy way to post schedules, set lists, chord charts.
I haven't had a lot of people embrace it though, we live in a rural area and several members only have dial-up access.
So, I make copies of all chord charts and make a pitch-corrected practice CD and put it in their mailbox at church 2-weeks in advance of their scheduled practice date.
